Add-On Products for Sage Intacct™
1. Introduction and Our Role

This Privacy Policy explains how Akuna Solutions Pty Ltd (ACN 627 179 917) (“Akuna”, “we”, “us”, or “our”) collects, uses, discloses, and safeguards personal information in connection with our software Add-On products for Sage Intacct™ and related support services (the “Services”). It should be read alongside our Terms of Service (Add-On Products), available at https://akunasolutions.com/terms-of-service/ , and our Data Processing Agreement (“DPA”), available at https://akunasolutions.com/data-processing-agreement/ . This Privacy Policy is a notice of our privacy practices; it does not form part of, or vary, those documents. Where we process personal data on your behalf, the DPA governs.

Data protection laws distinguish between a Controller (who decides why and how data is processed) and a Processor (who processes data on behalf of a Controller):

  • When we act as a Processor. For the data processed via the Add-Ons in connection with your Sage Intacct environment (“Customer Data”), you are the Controller and we act as your Processor, strictly on your documented instructions and subject to the DPA.
  • When we act as a Controller. For the information used to manage your account, billing, and our business relationship (“Administrative & Billing Data”, and aggregated “Telemetry & Usage Data”), we act as the Controller.
2. How the Add-Ons Handle Customer Data

Consistent with our Terms of Service, the Add-Ons are designed so that Customer Data is not persistently stored outside Sage Intacct. Data retrieved from your Sage Intacct environment is processed transiently — for example within temporary cloud computing processes that run on demand and do not retain data after processing – to perform calculations, validations, transformations, or to render results, and is not retained in a persistent database once that processing is complete. We do not hold a persistent copy of your Customer Data for export or archival purposes.

The limited categories of data we do retain are: configuration settings and mapping rules you set up within an Add-On (which may be stored within and/or outside Sage Intacct); authentication tokens and session data required for security and operation; and access, error, and usage logs. These are described further below and in the DPA.

Processed transiently on your behalf to deliver Add-On functionality, troubleshoot issues, and provide support. Not retained persistently outside Sage Intacct except for the limited metadata, tokens, and logs described in Section 2.

Administrative & Billing Data

Account details provided during sign-up (e.g. name, email, job title, phone number, credentials) and information provided when subscribing (e.g. billing address, payment details).

To administer your account, send security and operational alerts, provide support, process payments and prevent fraud, and send marketing updates where you have opted in. We use secure third-party payment providers and do not store full payment card numbers.

B) Information we collect automatically:

  • Log and operational data. Because the Add-Ons operate primarily through Sage Intacct APIs rather than a general web-browsing surface, the data we log is chiefly API access logs, error logs, and usage metadata — for example connection events, timestamps, IP addresses associated with API calls, and error records — used to secure and operate the Services and to troubleshoot.
  • Telemetry and usage data. We collect aggregated data about how features are used to improve the Services. This data is aggregated and does not identify, and cannot reasonably be used to re-identify, any individual or Customer.
  • Cookies. Where you use any web-based interface we provide, we may use essential cookies to keep you securely signed in and limited analytics cookies to understand performance. 
4. How We Use Your Data

We process personal data only where we have a lawful basis. Primary uses include:

  • Providing the Services — delivering the Add-On functionality you subscribed to.
  • Communication — sending operational and security updates, and marketing where you have opted in.
  • Security and fraud prevention — detecting and preventing malicious activity.
  • Product improvement — analysing aggregated, non-identifying usage data.
  • Artificial intelligence. Some Add-Ons may use AI or machine-learning components, as described in the applicable Documentation. We do not use your Customer Data to train general-purpose or cross-customer AI/ML models, except as expressly permitted by the DPA or with your consent.
5. How We Share Your Data

We do not sell your personal data. We share information only as follows:

  • Sub-processors and service providers. We use trusted third-party vendors (for example, cloud hosting and payment processing) to provide the Services, bound by confidentiality and security obligations. Our active Sub-processors are listed at https://akunasolutions.com/sub-processors/ .
  • Resellers. If you purchased through an authorised reseller, we share subscription, usage, and support data with that reseller as needed to administer your subscription and provide support, subject to the DPA.
  • Integrations. Where you connect third-party apps, we share data as directed by you to enable that integration.
  • Legal compliance. We may disclose data where legally required, or to protect our legal rights.
  • Business transfers. In a merger, acquisition, assignment to a related entity, or sale of assets, data may be transferred subject to confidentiality protections.
6. International Data Transfers

Akuna operates internationally, and your data may be processed in countries outside your own. Where required, we ensure such transfers are protected by a valid transfer mechanism (such as Standard Contractual Clauses), as set out in our DPA. You are responsible for satisfying yourself as to the locations in which processing occurs, having regard to our Sub-processor list.

7. Security and Data Breaches

We maintain administrative, physical, and technical safeguards designed to protect data, including encryption in transit and at rest where applicable, access controls, and logging. In the event of a confirmed breach affecting your personal data, we will notify you without undue delay and provide the support described in our DPA, in accordance with applicable law.

8. Data Retention

Because Customer Data is processed transiently and not stored persistently outside Sage Intacct, there is no separate archival copy of your Customer Data held by us for export. We retain the limited categories of data described in Section 2 as follows:

  • Configuration data and metadata — retained for the duration of your active subscription. After termination or expiry, this is deleted or de-provisioned within the window set out in the Terms of Service, and earlier on your written request where technically feasible.
  • Logs — access, error, and usage logs are retained for up to 24 months, after which they are deleted or anonymised, except where we are required to retain them for longer by law.
  • Administrative and Billing Data — may be retained longer as necessary to comply with tax, accounting, and legal obligations.
9. Your Privacy Rights

Depending on your location, you may have rights under applicable law (including the Australian Privacy Act 1988, and the EU/UK GDPR), such as access and portability, correction, deletion, and restriction of or objection to processing. To exercise them:

  • Where we are the Controller (Administrative & Billing, and Telemetry data) — contact us using the details in Section 10.
  • Where we are the Processor (Customer Data) — the Customer is the Controller; direct your request to them, and we will reasonably assist them in line with the DPA.
